Day Of Coordination

This service is for the couple who has all of their vendors and might only need assistance the day of the wedding. Imagine Wedding and Event Planning will work with the couple 3 weeks before the wedding.. to the end of your wedding day.

Prior to Wedding

  • Initial consultation meeting plus up to 2 additional meeting in person
  • Day of the event to include up to 7 hours of service ( 2 hours of set up, 5 hours during the celebration)
  • Provide budget analysis
  • Contact vendors and confirm date/time of arrival
  • Vendor liaison - coordinate with transportation companies, florist, bakery, photographer, videographer, band or DJ, hair dresser, make-up artist, rental company, caterer and efficient.
  • Client will provide copy of each contract
  • Review vendor contracts to confirm requested services
  • Check all seating lists to ensure correct counts
  • Deliver final check(s) and or vendor gratuities
  • Provide timeline to key vendors
  • Family and Bridal Party liaison
  • Collect all items for the reception/ceremony site (i,e guest book, place cards and party favors, etc.)
  • Provide Wedding Day Schedule of Events for bridal party


  • Meet efficient,family and bridal party
  • Orchestrate wedding rehearsal
  • Provide timeline for wedding party
  • Plan processional/recessional and VIP seating
  • Instruct ushers on VIP seating and timing
  • Arrange for special-needs seating

Wedding Ceremony

  • Arrive to check prior to first vendor arrival
  • Coordinate florist delivery to hotel or site for wedding party/family members
  • Assist with distrubution and pinning of all personal flowers
  • Coordinate with photographer/videographer and efficient
  • Distribute ring pillow, flowe basket(s) and all personal items
  • Ensure that every vendor delivers contracted services
  • Set up guest book table or sign-in table, this may include gift table
  • Confirm possession of rings prior to ceremony
  • Complete final check, VIP chairs, spacing and flowers
  • Close off all entrances to ceremony area
  • Orchestrate the ceremony processional
  • Collect all personal and ceremony items for safekeeping
  • Manage the timing of the events with wedding party, family and guests

Wedding Reception

  • Over see the set up of reception (table linens, decorations, food, bar, cake, guest/gift table)
  • Check for Correct set-up, number of tables, sizes, etc.
  • Arrange for gifts to be moved from ceremony
  • Arrange for guestbook, sign-in table items to be moved
  • Arrange all seating cards on seating card table
  • Check with banquet manager to comlete final chair count
  • Review wedding schedule for food service with banquet captain
  • Review wedding schedule with band or DJ
  • Oversee transfer of flowers from ceremony to reception and placement
  • Check bridal table and cake table for all required items
  • Bring all items to reception (cake topper, knife / server / toasting glasses, Place cards, napkins)
  • Assist Venue to direct all guests from cocktail location to reception
  • Line up bridal party for introductions
  • Coordinate timeline for all special events
  • Cue bride and groom, best man, and parents for all special events
